Handling of Personal Information

ZEUS Co., Ltd. (hereinafter referred to as “ZEUS”) shall handle customer personal information which ZEUS obtains as follows.

ZEUS appoints a personal information protection and management administrator to handle personal information ZEUS obtained as follows.

ZEUS purpose of use of use of the personal information obtained is as follows. Provided, however, that if any other purpose of use is stated in writing (including website), such shall be the purpose of use. Furthermore, contents of speech communication might be recorded for confirmation of the contents and service quality improvement purposes.

(1) Users (*those who use our various services)

• To provide various services
• To authorize various services
• To deal with inquiries on any services
• To provide notifications and/or information, and/or to perform administrative communications
• To prepare statistical information
• To conduct our business operation subsequent to and/or related to the above.

(2) Clients (*Business operators who implement our services, or Our Business Partners)

• To perform various services
• To handle inquiries and/or to provide documentation
• To enter into agreements and/or to perform client screening
• To provide notification and/or information, and/or to perform administrative communications
• To prepare statistical information
• To complete our business operation subsequent to and/or related to the above.

(3) Officers and employees (*Our officers and/or employees (including loaned- and temporary-staff) and applicants)

• To communicate regarding recruiting screening and interviews etc.
• To administrate HR, business operation, health and/or security
• To process procedures legally required such as social insurance, labour insurance etc.
• To prepare statistical information
• To complete our business operation subsequent to and/or related to the above.

ZEUS shall use the personal information obtained from entrusted business for payment services only to the extent of the business that ZEUS is entrusted.

ZEUS shall not provide personal information to any third parties except;

• in case where the disclosing party agrees,
• in case where it is based on laws and regulations, and/or
• in case where ZEUS outsources to an external organization.

ZEUS may assign the handling of personal information obtained to an external organization. In case where ZEUS assigns the handling of personal information to an external organization, we will assess the organization’s information management system in advance and supervise the organization as needed and appropriate.

ZEUS shall not obtain or use any special care-required information such as health conditions, medical history or provide it to any third parties except as otherwise provided in Personal Information Protection Act, other laws or guidelines.

The purpose of use is restricted on specific personal information by Act on the Use of Numbers to Identify a Specific Individual in the Administrative Procedure. ZEUS shall not obtain or use it beyond the purpose or provide specific personal information to any third parties except in case where Act on the Use of Numbers to Identify a Specific Individual in the Administrative Procedure allows it.

(1) Preparation of Anonymized Information

ZEUS shall take the measures below in case where ZEUS prepares anonymized information (information relating to an individual that can be produced from processing personal information so as neither to be able to identify a specific individual by taking action prescribed in laws and regulations nor to be able to restore the personal information.)

• To apply appropriate processing in accordance with the standards prescribed by laws and regulations.
• To take action for the security control in order to prevent the leakage of information related to deleted information and a processing method carried out pursuant to the standards prescribed by laws and regulations.
• To disclose to the public the categories of information contained in the anonymized information.
• Not to carry out any act to identify the individual concerned of the original information.

(2) Provision of Anonymized Information

ZEUS shall disclose to the public the categories of information concerning an individual contained in anonymized information to be provided and its providing method, and state explicitly to the third party to be provided that the information being provided is anonymized information.

Provision of Personal Information is on a voluntary basis. However, there is a possibility that we will not be able to provide the requested services if the necessary Personal Information is not provided to ZEUS.

The disclosing party or its agent (hereinafter referred to as “the Disclosing Parties”) has the right to request disclosure regarding its own Personal Information (purpose of use, disclosure, amendment, addition, elimination, suspension or termination of use, termination of provision to a third party). If the Disclosing Parties seeks disclosure etc. of its own Personal Information, please contact the Contact below where the Disclosing Parties shall be instructed on the particular procedures for requesting disclosure of Personal Information. ZEUS shall respond to requests for disclosure of Personal Information by the prescribed method swiftly and appropriately.

（1）Basic Policy Development

To ensure the proper handling of personal data as an organization, privacy policy has been established as a basic policy.

（2）Establishing Discipline of Personal Data Handling

To prevent leaks of personal data handled and otherwise secure management of personal data, Personal Information Management Rules have been established as discipline for specific handling of personal data.

（3）Organized Security Management Measures

In addition to appointing persons responsible for personal data handling, ZEUS clarifies the employees who handle personal data and establishes a system for reporting to the persons responsible in the event of occurrences of personal data leaks or signs of such leaks.
Employees are required to handle personal data in accordance with the Personal Information Management Rules.
Regular self-inspections of the personal data handling status are conducted, as well as implementation of audit by other department or outside parties.
When outsourcing all or part of personal data handling, ZEUS has established selecting criteria of outsourcing partners in order to achieve appropriate personal data protection level and selects outsourcing partners accordingly. In addition, ZEUS concludes non- disclosure agreement with such outsourcing partners.

（4）Human Security Management Measures

Regular training etc. is provided to employees on points to note regarding personal data handling that requires attention.
Matters regarding confidentiality of personal data are included in employment regulations.

（5）Physical Security Management Measures

In the area where personal data is handled, measures to prevent personal data browsing by unauthorized persons are implemented, in addition to that employees entering/leaving are controlled.
ZEUS takes measures to prevent theft or loss of devices, electronic media and/or documents used for personal data, and also implements measures to ensure that personal data is not easily revealed when such devices, electronic media, etc. are carried, including moving within the company.

（6）Technical Security Management Measures

Access control is implemented to limit scope of person in charge and personal information database etc. Measures introduced to protect information system handling personal data from unauthorized access from outside or illegal software.

（7）External Environment Understanding

Security management measures are implemented based on our understanding of personal information protection systems in Japan where personal data is stored.
